The Work Preparator is responsible for the full order intake process for different customers. This includes both ensuring correct and efficient processing of all incoming orders. You perform a technical check of the provided material and adjusts where necessary and compiles the installation file in consultation with the project manager and takes care of the administrative preparation. The Work Preparator also supports the project engineer in all activities related to planning, budgeting, reporting. You prepare the sold files for production.
Tasks & Responsibilities
- Send the orders to SAP.
- Prepare the invoicing schedule for the finance department (in cooperation with PMO Manager).
- Communicate with several departments (engineering, planning, purchase, transport, finance) to ensure efficient processing of the orders.
- Execute technical screening of the provided material & adjusting when necessary.
- Follow up and keep track of costs during installation: damage, extra installation costs, extra material, claims…
- Pass on missing and/or damaged material during assembly and organizing delivery on site.
- Check the conformity between the order confirmation, the quotation and the plans and provide feedback to the sale or resale.
- Enter correct data per file and ensure the distribution of the necessary documents.
- Work out an optimal routing for non-standard products in SAP with determination of the production times, in consultation with production and purchase.
- Have regular contact with project engineering, purchasing and project management regarding product-specific parts.
