Job Description

Based in Ovar, Portugal, the QSHE Administrative Assistant provides administrative support to the central QHSE department, and supports all stow Group plants managing quality related non-conformities.

Tasks & Responsibilities

  • Motivate internal stakeholders to work according to the QHSE standards, instructions and procedures
  • Provide QHSE data, instructions, procedures and documents to all departments as they may require
  • Assist both internal and external ISO Audits, and follow-up actions
  • Check environmental requirements regarding waste and packaging
  • Support workplace accidents’ management
  • Perform GEMBA walks to identify improvement opportunities
  • Keep SharePoint and SAP database up-to-date and accurate
  • Create purchase requisitions for QHSE related equipment and services
  • Other administrative tasks
  • Handles non-conformities reported by the sales affiliates, gathers data and steers these towards the responsible plants/departments for further investigation
  • Investigates non-technical non-conformities and reports these accordingly
  • Creates non-conformity reports towards suppliers
  • Input data around non-conformities in SAP including internal financial transactions
  • Create Quality cockpit report


  • Previous experience in similar role, preferably in an international environment relating with multiple stakeholders
  • Excellent communicator, fluent in English
  • Strong organizational skills
  • Experience with SAP is a plus
